Facility Management
The Facility Manager will provide strategic oversight, support, mentoring and performance monitoring to the Building Manager, ensuring the property is managed efficiently, safely and in accordance with approved standards, policies and statutory requirements.
Key responsibilities include:

Negotiate and manage service contracts, including lifts, fire and essential services, waste management, utilities and energy suppliers.

Conduct a minimum of fortnightly property inspections to ensure all common property areas are maintained and presented to an acceptable standard.

Liaise regularly with the Building Manager to review and follow up on outstanding maintenance, operational and compliance matters.

Assist with the development, review and implementation of long-term asset management and preventative maintenance plans.

Liaise with the Board and Strata Manager, as required, to coordinate and oversee approved capital works relating to common property.

Monitor compliance with Essential Safety Measures (ESM) and other relevant statutory and regulatory requirements.

Audit service records, compliance documentation and reports maintained by the Building Manager and/or Strata Manager.

Oversee approved capital works projects to ensure they are completed to specification, within agreed timeframes and to the required standard.

Ensure approved policies, procedures and operational processes are consistently followed by the Building Manager.

Monitor and manage the performance of the Building Manager, providing guidance and support where required.

Monitor contractor performance against agreed scopes of work, service levels and contractual obligations.

Attend Board, Strata and relevant stakeholder meetings as required.

Provide clear summaries of activities, outstanding matters, actions and recommendations, and ensure all agreed actions arising from meetings are appropriately followed up.

Identify operational risks, maintenance priorities and opportunities to improve building performance, service delivery and cost efficiency.

Support the coordination of contractors, consultants and service providers to ensure works are completed safely and with minimal disruption to residents, tenants and stakeholders.

Monthly or Quarterly Building Management Report presented to Strata and the Board, including operational updates, maintenance activities, compliance matters, contractor performance, capital works, outstanding issues and recommended actions.
